Members Present:  Wedekind, Mielke, Haugen, Lombard, Geimer, Kolb, and Giese

Others Present:  Pleger, Armstrong, and Kohlmeyer

Chairperson Wedekind called the meeting to order at 8:30 A.M. and compliance with the Open Meeting Law was verified.

Motion by Kolb, seconded by Geimer to approve the agenda for today’s meeting, as mailed.  Motion carried.

Motion by Geimer, seconded by Kolb to approve the minutes from the November 18, 2010 meeting.  Motion carried.

Financial Report:

C. Giese, City Clerk, distributed a Revenue/Expenditure Report for the period 1/1/2010 to 12/31/2010, indicating an unexpended balance of $105,628.51 and $60,515.69 in the designated capital equipment account.

Maintenance Report, Review and Payment of Bills:

P. Kohlmeyer presented the monthly maintenance report and list of bills; discussion followed concerning the possibility of filing an insurance claim for damages allegedly caused by a recent “brown out”.  Motion by Lombard, seconded by Kolb to approve the list of bills submitted in the amount of $7,237.64.  Motion carried. 

Dean’s Report:

Dean Pleger reported on the following:

• Exams have begun; winter term will begin shortly.
• Raymond Cross has been selected as the next Chancellor of UW Colleges & UWEX.
• A number of new hires have recently taken place.
• Request from LEAD, a UW legislative advocacy group who represent the interests of UW-BSC, UWC/UW-EXT and UW System concerning legislative issues, has been received; Commission member Geimer expressed an interest in membership.
• Difficult budget year ahead anticipated; retaining staff could become an issue.
• Funds were approved which will allow the hiring of an assistant to prepare an RFP relative to student housing; additional job duties will need to be defined.
• The usual winter parking lot “fender benders” are occurring; attempt will be made to secure the use of city snowplowing equipment to better reveal lot spacing lines following a snowfall.
• Commission members were invited to the Dean’s upcoming holiday party on January 16, 2011. 
• UW Campus & Community Choir “Sources of Light” holiday concert presentations are ongoing; the next event scheduled for Sunday, December 19th at the Methodist Church in downtown Baraboo beginning at 2:00 P.M.

Discussion on Parking Lot Improvements:

Chairperson Wedekind noted the 2011 budget request has been approved by both the city and county and included funding for improvement of the parking lot.  He further indicated it was his intention to appoint a Parking Lot Improvements Subcommittee to oversee the project.  Discussion took place with consensus of the composition as follows:  Chairperson Wedekind, Commission members Lombard and Kolb, UW Campus Buildings and Grounds and Athletic Directors, and representative of the Student Government Association (to be determined).  Consideration of a contract to draft an RFP will be an item for discussion at the January, 2011 meeting.

Discussion & Consideration on 2011 Budget Request:

Request has been approved by both the city and county.
 

Review & Award Carpeting Proposals:

D. Armstrong and P. Kohlmeyer presented information on the amount of floor covering required; approximately 8,400 square feet.  Kohlmeyer displayed carpet samples and discussed other floor covering options with the Commission.  Further noting she is anticipating information from another vendor and will present same at a future meeting. 

Kohlmeyer expressed concern over areas in the facility which have broken tile that contain asbestos.   

Discussion on Student Housing:

Included in Dean’s report.

D. Armstrong noted Focus on Energy/Alliant Energy will be doing an energy audit of the campus facilities in January which may help develop items for consideration in the use of Department of Energy Provisional Grant money. 

Motion by Mielke, seconded by Wedekind to adjourn and set the next, regular meeting date for Thursday, January 13, 2011 at 8:30 A.M. in the Campus Theater.   Motion carried and the meeting adjourned at 9:25 A.M.
