Meeting Minutes

 

Committee Members Present: Pate, Brown, Gavin, Bailey, Cunningham, Wenzel, Fleischmann

Committee Members Absent: Michalek, Stieve, Felton, Geoghegan

 

Wenzel called meeting to order @ 10:06am

 

Motion by Pate, seconded by Bailey to approve agenda.

 

Motion by Pate, seconded by Cunningham to approve minutes from September 22, 2015 meeting.

 

Public Comment: none

 

Communications: none

 

Review of 2015 Budget: Pate reviewed budget reports.  No questions

 

Discussion of Land Records Activities & Updates by Department:

 

Approval of 2016-2018 Sauk County Land Information Plan: Plan discussed.  Brown brought up two changes in the flow chart for pg.24. It was noted that Treasurer/Real Property Dept does not print tax bills any longer.  They use a 3rd party. (See wording changes in Diagram).  Motion by Bailey to approve Sauk County Land Information Plan with noted changes.  Motion seconded by Gavin, no further discussion, all approved.

 

2016 Strategic Initiative Grant: Fleischmann informed the group that the agreement needed to go to the County Board for approval.  Agreement has been sent to Corp Counsel for review, Corp Counsel has some issues with language, but we have not seen the strike through version.  Felton has persistently requested the strikethrough version. Pate explained the agreement was heavily in favor of the state.  Dederich suggested taking the agreement to WCA to see if others have issue with it.  No further discussion.

 

Discussion of and possible action on Re-Survey books scanning and indexing project:

 

Re-Survey Books: Discussed Re-Survey Books.  Bailey noted when vendor takes a look at the Grantor/Grantee books he will have them review the Re-Survey books as well.  The plan is to bring the vendor in when Co. Surveyor is in the office so he can explain the differences.  Need to ensure the scans are done at full size.  The plan is to get Re-Survey books scanned at the same time the vendor returns to scan the Grantor/Grantee Index books.  All scanning will be done in house.  Scanning will be part of the redaction project.  Discussed the need for proper indexing to make sure the final product is useable.  This project should be done by the end of the year.

 

Final 2016 Land Records Modernization Budget: Pate reviewed budget.  No questions or changes.

 

Agenda items for next meeting: No specific items discussed.  Will add standard items for draft agenda.

 

Next meeting: Thurs.  May 26 @ 10am, location TBD.
