Purpose

To authorize the purchase of a software upgrade for our Avaya phone system.

Background

Sauk County’s enterprise phone system interconnects all county facilities and supports all incoming and outgoing phone traffic, excluding incoming 911 calls.  Configured for failover redundancy, this system is monitored 24x7 by Avaya support.

 

The software version currently utilized by Sauk County is end of life in July of this year.  After the end of life date, Avaya will no longer support or monitor the current system unless it is upgraded to a supported software version.  This requires the purchase of licensing at the current version level and the reconfiguration of the system with the newer software. 

 

Annual ongoing support for the upgraded system is estimated to be $52,770 annually.  Entering into a three-year support agreement will reduce the annual fee to $47,669, saving Sauk County 9.7% or $15,303 over three years.

            WHEREAS, in your Executive and Legislative Committee’s reasonable judgment, it is in the best interest of Sauk County to accept the following bid from CCC Technologies for the upgraded licensing and system configuration:

 

Product & Licensing for all Sites                                                       $ 77,354.09    

Project Fees Including Design, Programming, Installation,

Testing & Travel and First Day of Business Support                      $  31,124.00

Total                                                                                                        $108,478.09

             Annual Support (based on a three-year contract)                                $  47,669.00

 

            NOW, THEREFORE, BE IT RESOLVED, by the Sauk County Board of Supervisors met in regular session, that the above-described quote be and hereby is accepted by the County of Sauk; and,

            BE IT FURTHER RESOLVED, that the Management Information Systems Director is hereby delegated the authority to sign any contracts related to the purchase and installation of said software on behalf of Sauk County; and,

            BE IT FURTHER RESOLVED, that the Management Information Systems Director is hereby delegated the authority to enter into a three-year maintenance agreement with Avaya for this system.
