Document Recording Checklist

Requirements of the standard document format are as follows:

  • The upper right-hand corner of the document must be completely blank (at least 3" by 3") to allow room for the recording stamp.
  • A name and return address must be provided
  • The parcel identifier number, if available, must be placed directly under the return address. 
  • The title of the document must be within the top 3 inches of the page, but not in the 3" by 3" corner reserved for the recording stamp.
  • The entire document must be legible and reproducible.
  • The paper is white, standard weight and letter or legal-sized.
  • The ink is black, blue or red except that signatures and coded notations on maps may be other colors.
  • The top margin is a minimum of 1/2 inch for every page.  Other margins are a minimum of 1/4 inch.
  • Pages are not hinged.
  • A complete legal description is required and should include the following*:
    • The platting information (if property is platted):
      • Lot or Lot/Block and subdivision name followed by "Sauk County, WI"
      • Lot of a Certified Survey Map referred to by CSM number, document #, Volume/Page and followed by "Sauk County, WI"
      • Condominium name and unit, week, or building, if applicable followed by "Sauk County, WI
    • If unplatted, then "metes and bounds" tied into the Public Land Survey System
    • Public Land Survey Information:
      • Quarter Section or Quarter/Quarter Section
      • Section, Town, and Range
    • Municipality - City, Town or Village
    • County
  • Record the document in the appropriate county.
  • Original signatures notarized or authenticated. Printed name should be under signature.
  • Proper fees accompanying the document(s).  Recording fee is $30 flat rate regardless of number of pages.  Fees associated with the Wisconsin Real Estate Transfer Return are paid to our office as well.
  • Name of the document drafter.
  • Wisconsin Real Estate Transfer Return (completed and with proper fee or exemption).
  • Multiple mortgages, assignments or satisfactions may not be referenced on the same instrument.

Note: Documents will be reviewed for the above requirements prior to recording, but the ultimate responsibility for a complete and correct document is yours.

*The abbreviated tax description found on the property tax bill is NOT considered a complete legal description.
